Tracking in order emails

Shipment Tracking adds two things to your emails:

  • A tracking box inside the emails WooCommerce already sends.
  • A separate Order shipped email, sent the moment a tracking number is added to the order.

Both are set up under Shipments > Emails.

The box shows the courier, the tracking number and a button to your tracking page. The button carries a signed link that opens the order on the tracking page without typing anything. The box only appears once the order has a tracking number.

Under Where it goes, choose one:

  • Above the order table: the default. The box is added above the order table in the emails you pick below.
  • Only where I place the shortcode: for custom email templates and email editors. See The shortcode.
  • Off: no box.

Under Above the order table, in emails for orders that are, tick the order statuses. By default only Completed is ticked. Ticking a status is safe even if some orders ship later, since the box only shows when there is a tracking number.

  • Title: default “Your order is on its way”.
  • Text: default “The parcel has been handed to the courier. You can follow it on our tracking page.”
  • Button: default “Track your parcel”.

You can use the placeholders below in these texts.

Tick Send it in the Order shipped email panel and click Save.

  • It is sent to the customer as soon as a tracking number is added to the order, by hand or by a courier plugin.
  • It is sent once per tracking number, and shows the tracking number it was sent for.
  • Orders placed before you switch it on never get it, so old AWBs do not trigger a late email.

It is a regular WooCommerce email called “Order shipped”. To change its subject, heading and text, click Subject, heading and text, which opens it under WooCommerce > Settings > Emails. The defaults are:

  • Subject: “Your {site_title} order #{order_number} has shipped”
  • Heading: “Your order is on its way”
  • Additional content: “Thanks for shopping with us.”

These work in the tracking box texts, and in the subject, heading and text of any WooCommerce email. On the Emails screen, click one to copy it.

Placeholder Replaced with
{courier} The courier name, for example Sameday
{tracking_number} The tracking number (AWB)
{tracking_link} The link to this order on your tracking page
[brl_st_tracking_box]

This is the whole tracking box, for email editors such as YayMail, Kadence or your own templates. Put it where the box should appear. It works in any customer email that is about an order.

Outside emails, you can show the box for a given order:

[brl_st_tracking_box order_id="123"]

It is only shown to the customer who placed the order and to shop managers.

In a custom email template, call brl_st_render_email_box( $order_id ) to print the same box.
